Grants management tasks - Deanship of Students Affairs
Tasks of the Scholarship Department:
- 
	General supervision of all affiliated units and sections under the department.
- 
	Establishing the department’s internal regulations, defining responsibilities, and outlining general job descriptions for staff, as well as ensuring coordination among its units. 
- 
	Communicating with relevant departments within the university in areas related to the department’s scope of work. 
- 
	Submitting periodic reports to the Vice Dean of Student Affairs on the department’s performance and encountered challenges. 
- 
	Monitoring the implementation of the department’s approved plan by the Deanship. 
- 
	Approving regular and emergency leave requests for department staff. 
- 
	Evaluating the performance of directly reporting staff members. 
- 
	Coordinating and following up on the provision of university housing for scholarship students. 
- 
	Issuing annual flight tickets for students to travel to their home countries at the end of the academic year. 
- 
	Issuing and renewing student residency permits (Iqamas). 
- 
	Registering students with the Deanship of Admission and Registration. 
- 
	Following up on the issuance of university ID cards. 
- 
	Monitoring scholarship stipends and other financial benefits through the Rewards Department. 
- 
	Organizing activities and events to support and engage scholarship students. 
- 
	Identifying challenges faced by scholarship students and proposing appropriate solutions. 
- 
	Promoting integration between scholarship students and other university students. 
- 
	Archiving and maintaining official documents related to scholarship students. 
- 
	Communicating with the Ministry of Education. 
- 
	Coordinating with the Ministry of Foreign Affairs to issue entry visas. 
- 
	Liaising with internal and external stakeholders to accomplish tasks related to scholarship students. 
- 
	Executing any additional tasks assigned by the Vice Dean of Student Affairs. 
- 
	Developing internal policies to provide the best possible services to scholarship students and to fulfill the vision and mission of the Scholarship Agency and the university. 
- 
	Preparing executive regulations specific to scholarship students. 
- 
	Creating a comprehensive scholarship student database to support informed decision-making. 
- 
	Recommending the annual number and nationalities of scholarship students in line with the university's vision and Ministry of Education directives, and defining the admission mechanisms. 
- 
	Completing the required procedures for students nominated for study after approval from the Ministry of Education. 
- 
	Coordinating with relevant university departments to streamline procedures and services for scholarship students. 
- 
	Following up on the issuance of legal residency permits and university ID numbers for scholarship students. 
- 
	Overseeing student housing, living arrangements, financial entitlements, travel tickets, exit/re-entry visas annually, and final exit visas upon graduation. 
- 
	Supervising the overall well-being of scholarship students during their studies. 
- 
	Managing the university’s charitable fund in support of scholarship programs, and proposing its regulations and structure. 
- 
	Encouraging outstanding scholarship students both financially and morally, and offering them opportunities to participate in various media platforms within the Kingdom. 
- 
	Providing visions and recommendations to develop the educational framework for scholarship students in alignment with the agency’s vision.
